Setting up Document Printing

Before you print a document, you should carry out the following configuration tasks.

Company Address

The company address details that appear on printed documents are those defined for the current company. Enter the company's address while setting up or editing your company details.

Print Background Colors

To print background colors on your printed invoices (blue) or credit notes (pink), set the appropriate setting in your browser's configuration options.

Configure the Header and Footer

The content and layout of the header and footer on the printed document is controlled by your browser's configuration options:

Company Logo

The company logo that appears on printed documents is the one defined for the current company. As a default, the FinancialForce logo will appear on all printed invoices and credit notes.

If you plan to use the Accounting QuickStart wizard to set up your company data, you can skip this step as uploading a logo forms part of this process.

To upload your company logo outside of Accounting QuickStart:

  1. Click the Documents tab.
  2. Go to the Accounting Documents folder.
  3. Click New Document.
  4. Enter the document's details, including selecting the Externally Available Image checkbox.
  5. Upload your image file as described in "Uploading and Replacing Documents" in the Salesforce Help.

If the selected logo image file is on an external server, you must register the site as a trusted remote site (From Setup, click Security Controls | Remote Site Settings). See "Configuring Remote Settings" in the Salesforce Help for more information.

Later, while setting up or editing your company details, do the following tasks:

  1. Click the Documents tab.
  2. Go to the Accounting Documents folder.
  3. Select the appropriate document.
  4. Right-click the logo image as displayed in the lower part of the Document Detail section and select Copy Image URL or similar from the context menu.
  5. Create a new company or edit an existing one.
  6. Paste the URL into the Logo URL field.
  7. Click Save.
  8. If you have more than one company in your organization, repeat the previous steps for the remaining company records.

Use Your Own Visualforce Page as a Print Template

If the format of a printed sales invoice or credit note does not suit your requirements, you can override it by developing your own Visualforce pages. See the Force.com platform documentation for more information about Visualforce.

If the format of a printed billing document does not suit your requirements, you can override it by developing your own Visualforce page.

Disable the Standard Print/Email buttons on the Sales Invoice Page

If you have created custom print or email buttons on the sales invoice page, you can disable the standard ones by using custom settings.

In certain circumstances you may want to hide buttons relating to print and email on the sales invoice view page.

Accounting Settings
Field When selected:
Hide Print Buttons On Invoice Indicates that you want to hide the four print-related buttons, Preview, Print, View PDF and Print PDF.
Hide Email Button On Invoice Indicates that you want to hide the Email PDF button.

Customizing the DRAFT Watermark

When working on an "In Progress" document, if the user clicks the View PDF button the word DRAFT is shown as a watermark across the document. You can configure a different image to be used as the watermark by doing the following:

  1. Click the Documents tab.
  2. Go to the Accounting Documents folder.
  3. Click New Document.
  4. Enter the document's details.
  5. Browse for the file to upload. You are advised to use a PNG file with a transparent background and semi-transparent text so that the watermark image does not block the sales document.
  6. Click Save.
  7. With the Document Detail page displayed, locate the address bar in your browser window and copy the record ID. For example, if the address bar shows a URL like https://eu2.salesforce.com/015b0000000EF0Q you need to copy 015b0000000EF0Q.
  8. From Setup, click Develop | Custom Settings.
  9. Click Manage next to Accounting Settings (FF).
  10. Click Edit.
  11. Paste the record ID from the previous step into this field:

The new watermark image will then be used throughout your organization.
