Manually Changing the Avalara VAT Reporting Status of a Transaction

Only transactions with the Avalara VAT Reporting Status set to "Ready for Sending" or "Sending Failed" are eligible for sending to Avalara VAT Reporting.

When you post a sales invoice, sales credit note, payable invoice, payable credit note, or billing document, Accounting creates a transaction. If it contains an analysis line with tax, the transaction is automatically assigned the "Ready for Sending" status. It is processed the next time the Avalara VAT Reporting background process runs. If all the required data is present, the transaction is sent to Avalara VAT Reporting.

If a required field is blank, the transaction is not sent and its status is set to "Validation Error". To fix the issue:

  1. View the related Avalara VAT Reporting batch and log records. This helps you determine the cause of the issue. For example, the Tax Registration Number field on the related account is blank.
  2. Enter the required values.
  3. Change the Avalara VAT Reporting Status of the transaction to "Ready for Sending". The transaction is processed again the next time the scheduled job runs.

Depending on how your administrator set up Accounting, you can manually change the Avalara VAT Reporting Status from:

  • The transactions list view, by editing the field inline.
  • The transaction record page, by editing the field.

Depending on your requirements, you can change the status to one of the following:

  • "Not Ready for Sending" - to mark that a transaction should not be sent yet.
  • "Ready for Sending" - to mark that a transaction can now be sent. This is useful after you have added missing data for a transaction that had the "Validation Error" status, or if you want to send a transaction that you had previously marked as "Not Ready for Sending".
  • (none) - to completely exclude a transaction from being sent to Avalara VAT Reporting.
