Sending Batches of Reports

Note:
You can only send batches of reports using Classic view.

You can email reports for several records based on criteria you specify. You can do this using the where clause of an SOQL query.

To generate reports now:

  1. Click the Output Template tab.
  2. Click the output template that you want.
  3. Click Edit.
  4. Enter the criteria you want in the Automation Criteria field. This must be in the format of a WHERE clause in a SOQL statement, but not include the WHERE keyword itself. See Automation Criteria.
  5. Click Save.
  6. Click Automation.

    A list of records for which reports are to be generated is shown.

  7. To generate reports for the records listed, click Generate Reports.
Note:

If the To field on the output template is filled in correctly, the reports are automatically sent to the email address specified. If the To field is empty, reports are only sent for records on which a report was previously sent in the same template class. In this situation, the report is sent to the previous recipient of the report for that object.

To schedule generation of reports for the records listed:

  1. Repeat steps 1 to 4 mentioned earlier.
  2. Expand the Schedule Report section.
  3. Select when you want the report to be generated by selecting the frequency you want and the start time.
  4. Enter a Scheduled Job Name.
    Note:

    We recommend that you enter a meaningful value so that you can monitor the scheduled job.

  5. Click Schedule Job.
    Note:

    Once the job is scheduled you can monitor it. To do so, from Setup click Monitoring | Scheduled Jobs.
