Creating Single Payments for Multiple Invoices

Internal Users

When creating a payment, the available invoices are filtered by:

  • Account
  • Your current company
  • Accounting currency
  • Due date

Only sales invoices with a due date equal to or earlier than today's date are displayed. You can change the company and currency in the filter to view other sales invoices for the account. If you change the filter, the currently displayed sales invoices are removed from the table. When you create a payment, you can send the payment link to your customer or enter the payment details manually when these are issued over the telephone and entered on the customer's behalf.

It is possible to create an overpayment for multiple invoices.

To create a payment for multiple invoices:

  1. Navigate to the Accounts tab and click the account that you want to use.
  2. On the Account page, click Create Asperato Payment in the Payment component. The Payment - Multiple Invoices window displays.
  3. Select the invoices you want to pay and click Create. The Payment Summary displays.
  4. You can either:
    • Click Process Payment to enter payment details using Asperato. You can take payment for the whole amount or accept a partial payment. If you accept a partial payment, amounts are allocated to the sales invoices based on their due date.
    • Copy the ePayment Link URL and send it to the customer so that they can process the payment themselves.

Community Users

Community users can select the invoices that they want to pay and create a single payment for those invoices. They can only create a single payment for invoices that belong to the same company and have the same currency.

To create a single payment for multiple invoices:

  1. Navigate to the Community page.
  2. Click Create Asperato Payment.
  3. Select the invoices that you want to pay and click Create. A summary of the invoices selected and total amount displays.
  4. Click Pay Now and enter the payment details using Asperato.
