Utilization

Utilization is a measure of how effectively an organization uses its billable resources over time. It's generally a key indicator to determine billings, profitability, employee compensation, and capacity required to deliver pipeline opportunities. Utilization reporting requirements vary greatly between different organizations.

You can use the utilization fields in an RPGClosed Abbreviation of region, practice, group., projectClosed A collection of activities and related items to be managed over a defined time range, such as timecards, expenses, milestones and budgets. or resourceClosed A contact that works on a project. to monitor compliance of time booked against time scheduled. The result of utilization calculations help explain operational realities and why variances have occurred. For instance:

  • Were more hours credited than scheduled?
  • Did resources complete scheduled work?
  • Were resources assigned enough work?
  • Were some resources over allocated?
  • Are certain resource roles in the organization under staffed?

Utilization Methods

In PSA, there are two ways to calculate and visualize Utilization:

Utilization Analytics

Utilization Analytics is built to improve on the volume and performance limitations in Utilization Calculation. Utilization Analytics utilizes the faster Salesforce Queueable Architecture resulting in quicker calculations and handling of much higher volumes. It also utilizes Salesforce Analytics for a user friendly visualization and filtering of utilization data.

Bring the power of Analytics to your utilization calculations. If you have the necessary licenses for Analytics and it is enabled in your user orgs, you can use Utilization Analytics to view, analyze, and perform actions on your utilization data. Utilization Calculation

Utilization calculation utilizes slower batch architecture which only works in low volume environments and requires separate calculation schedules for different RPGs making managing of the jobs more challenging.

You can calculate either historical or scheduled utilization for an RPG or resource. PSA creates the following records in your organizationClosed A deployment of the Salesforce/Certinia applications with a defined set of licensed users. Your organization (org) includes all of your data and applications, and is separate from all other orgs.:

  • A parent utilization calculation record.
  • Child utilization detail records.
  • Utilization summary records
