Collections Plus Fields

The Collections Plus home page contains the Reminders and Customer Statements sections. You can drill down from the home page to view:

  • The list of accounts that reminders will be sent to
  • The list of accounts that customer statements will be sent to
  • Reminder logs
  • Customer statement logs

The Collections Plus home page contains the following fields:

Field

Description

Company Defaults to your current company. If you have multiple companies that you want to send reminders for, you can select a company from the list.

Reminders

The Reminders section of the Collections Plus page contains the following fields and buttons.

The Reminders section contains the following fields.

Description

Attachments The number of reminders that have Conga sales invoice templates attached.
Errors The number of errors. Click to view details of the errors. For more information, see Reminder Error Details.
Excluded The number of reminders excluded. Click to view details of the invoices that were excluded from the reminders process.
In Progress This displays while reminders are being sent. Click this field to view the reminder details including the job status. For more information, see Reminders Fields
Rule Name List of the reminder rules that you have set up, ordered by the number of days before or after the due date.
Sent The number of reminders sent. Click to view details of the reminders that were sent. For more information, see Reminders Fields.
To Send The number of reminders to be sent for each rule. You can click on this field to view details of the outstanding invoices. See Reminder Invoice Details.

Buttons

The Reminders section contains the following buttons.

Button

Description

Send Sends the reminders for the selected reminder rule.
Settings Displays the Reminder Rules tab.
Step 1: Attach Document

Creates the sales invoice or billing document attachments, using the Conga template specified on the reminder rule. You cannot send reminders until you have attached the sales invoice templates.

Note: This button only displays if you have configured reminders to attach sales invoices using Conga templates.

When you click Step 1: Attach Document, the Conga template-based document is displayed in a window. You can configure the Clickjacking Protection Setting to allow opening of the Conga template-based document in a new tab. For more information, see Accounting Settings.

Step 2: Send

Sends reminders for the selected rule. You cannot send reminders if you have not attached the sales invoice templates.

Note: This button only displays if you have configured reminders to attach sales invoices using Conga templates.

Customer Statements

The Customer Statements section contains the following fields.

Errors The number of errors. Click to view details of the errors. For more information, see Customer Statement Log Fields.
Excluded The number of statements excluded. Click to view details of the accounts that were excluded from the statements process.
In Progress This displays while customer statements are being sent. Click this field to view the statement details including the job status. For more information, see Customer Statement Log Fields.
Sent The number of customer statements sent. Click to view details of the customer statements that were sent. For more information, see Customer Statement Log Fields.
Statement Name The name of the statement rule.
To Send

The number of customers statements to be sent. You can click this field to view details of the accounts that statements will be sent to. For more information, see Statement Invoice Details.

Buttons

Send Sends the customer statements for the statement rule.
Settings Displays the Customer Statement Rules tab.

Reminder Invoice Details

The Reminder Invoice Details page contains the following fields.

Field

Description

Account Invoices are grouped by account name, sorted alphabetically.
Document Number The auto-generated invoice number of the sales invoice or billing document.
Due Date The date payment of the invoice is due.
Has Attachment Indicates whether the sales invoice or billing document attachment has been created. This only displays if you have configured reminders to attach sales invoices or billing documents using Conga templates.
Home Outstanding Value

The outstanding amount in the home currency.

The total outstanding amount for each account is also displayed.

Invoice Date The date the invoice was created.
Invoice Total The total invoice amount in the document currency.
Outstanding Value The outstanding amount in the document currency.
Payment Status

The payment status of the invoice. Can be:

  • Partially paid
  • Unpaid
Period The financial period the invoice was created in.
Reason For Exclusion You can enter a reason for excluding an invoice from the reminder process. Up to 80 characters in length. The exclusion reason is displayed until you send the reminder.

Back Returns you to the Collections Plus page.
Conga Dashboard

This only displays if you have configured reminders to attach sales invoices or billing documents using Conga templates.

Displays the Conga Batch Dashboard, which contains information about the Conga Batch jobs and your API usage.

Send Reminders

Sends reminders for the selected invoices.

Clear the checkbox by the Invoice Number if you want to exclude an invoice from the reminder process.

Step 1: Attach Document

This only displays if you have configured reminders to attach sales invoices or billing documents using Conga templates.

Creates the sales invoice or billing document attachments, using the Conga template specified on the reminder rule. You cannot send reminders until you have attached the sales invoices or billing documents.

Step 2: Send

This only displays if you have configured reminders to attach sales invoices or billing documents using Conga templates.

Sends reminders for the selected rule. You cannot send reminders if you have not attached the sales invoices or billing documents.

Reminder Error Details

Fields

The Reminder Error Details page contains the following fields.

Description

Account Invoices are grouped by account name, sorted alphabetically.
Document Number The auto-generated invoice number.

Error Displays the error type and the account it relates to. Click the error to view the account details.
Home Currency Outstanding Value

The outstanding invoice amount in the home currency.

The total outstanding amount for each account is also displayed.

Invoice Total The total invoice amount in the document currency.
Outstanding Value The outstanding amount in the document currency.
Payment Status

The payment status of the invoice. Can be:

Send Reminders

Sends reminders for the selected invoices. If you have fixed the errors, you can use this to re-send the reminders.
