Creating Accounting Playbook Tasks

You can either create an accounting playbook task for an accounting playbook manually or generate it for an accounting playbook from an accounting playbook task template.

Note:
  • To create accounting playbook tasks, select approvers, and manage approvers, you must have the Accounting - Playbook Owner permission set assigned.
  • Ensure that the assignee has the Accounting - Playbook Task Assignee permission set assigned.
  • Ensure that the approver has the Accounting - Playbook Task Approver permission set assigned.

To create an accounting playbook task manually:

  1. From the App Launcher, navigate to Accounting Playbook Tasks.
  2. Click New and the New Accounting Playbook Task window displays.
  3. In the Name field, enter a name for the accounting playbook task.
  4. In the Accounting Playbook field, specify the accounting playbook for the task.
  5. [Optional] Set the status of the task.
  6. [Optional] Enter the description.
  7. [Optional] Specify the assignee to complete the task.
  8. Specify the due date for the task to be completed. Ensure the due date is before the due date of the selected accounting playbook.
  9. [Optional] In the Links and Notes section:
    1. In the App Location 1 and App Location 2 fields, enter the links of the apps to perform the task . For example, provide a link to the Automated Elimination page to perform automated eliminations.
    2. In the Report Location 1 and 2 fields, enter the link to reports that will be used to perform this task.
    3. In the Note 1 and Note 2 fields, enter any important notes to enable the assignee to perform the task.
  10. Click Save. The accounting playbook task related to the selected playbook is created.
  11. Once the task is created a notification is sent to the assignee. The assignee can then check and complete the task. To receive notifications and to set the notification channel, select the relevant settings in Playbook Settings.
  12. When the task is ongoing, the assignee must select the task status as "In Progress" and click Save. Once the task is completed, the assignee must select the task status as "Done" and click Save.
Notes:
  • The accounting playbook tasks must have unique names if they belong to the same accounting playbook. They can have the same names if they belong to different playbooks.
  • By default, App Location 1 and 2 fields are visible. If required, you can display App Location 1 - 5 fields.
  • By default, Notes 1 and 2 fields are visible. If required, you can display Notes 1 - 5 fields.
  • By default, Report Location 1 and 2 fields are visible. If required, you can display Report Location 1 - 10 fields.
  • The task assignee or the approver cannot change the accounting playbook assigned to the task.

You can also create one or more accounting playbook tasks from the accounting playbook related list.

To do so:

    1. From the App Launcher, navigate to the Accounting Playbooks tab.
    2. Click the accounting playbook record in the list.
    3. Click the Related tab. In the Accounting Playbook Task section, click New.
    4. Fill in the details and click Save.

You can also view the accounting playbook task history in the Related tab.

In the Approvers tab, playbook owners can select approvers for the task. The selected approvers receive a notification once the task is set to Done by the assignee. For more information, see Approving Playbook Tasks

Notes:
  • To receive notifications, and to set the notification channel, select the relevant custom setting field in Playbook Settings.
  • You can hide the Approvers tab by deselecting the Enable Task Approval Feature custom setting field in Playbook Settings.
  • The Status field does not have the Approved option in the picklist by default. Once the approver approves the task, the Approved option is visible in the picklist but it remains inactive in the Object Manager. To activate this picklist value, see Approving Playbook Tasks
