Sharing a Project

The security around objects might be configured so that project managers or resources can't see objects created by people who don't report to them. Users without administration permissions may not have access to records created or owned by other users.

If you have the permissions to do so, you can share the following objects using the Share Project page when their sharing model is not already Public Read/Write:

You cannot share a project with a project manager or team member if they are a high volume customer portal user.

To view the sharing model on your organization: from Setup, click Sharing Settings in the Security Controls category.

If the sharing model for an object is Public Read/Write, there is no need to share the object because all users can see all records for that object regardless of the owner. Your administrator can configure the sharing model on your system.

To share project records with project managers:

  1. Open the project that you want to share in the Project tab.
  2. Ensure that the Share with Project Manager checkbox is selected.
  3. Click Share Project.
  4. Select the level of access that you want to grant the project manager for each object using the drop-down lists.
    Tip: Tip
    If you want to assign the same level of access for all the objects shown, select the level of access that you want from the Default Access drop-down list.
  5. Click Share with Project Manager.

To share project records with resources:

  1. Open the project that you want to share in the Project tab.
  2. Ensure that the Share with Project Resources checkbox is selected.
  3. Click Share Project.
  4. Select the level of access that you want to grant the project resources for each object using the drop-down lists.
    Tip: Tip
    If you want to assign the same level of access for all the objects shown, select the level of access that you want from the Default Access drop-down list.
  5. Click Share with Project Team.
