Setting up Extended Edition for Sales Invoices and Sales Credit Notes

The default user interface for creating, editing and viewing sales invoices and sales credit notes is called Classic EditionClosed The view of the application that you see when you first install the base managed package.. If you prefer, you can enable an alternative user interface that makes use of faster data entry grids for entering document lines. This alternative user interface is known as Extended EditionClosed The view of the application that you see when you install one of the extension packages (such as the Cash Entry Extension package). For invoices, credit notes, and journals Extended Edition is integrated into the main package, but must be configured. . In previous versions of FinancialForce Accounting, Extended Edition was only available by installing an extension package but it is now integrated into the main FinancialForce Accounting application. Extended Edition also provides support for sales invoices and credit notes of more than 80 lines; this is known as enterprise billing.

To enable Extended Edition for sales invoices and sales credit notes, you must remove button overrides and assign page layouts as detailed below. You must be signed in as the System Administrator to make these changes.

Remove Button Overrides

Follow these steps to remove the button overrides:

  1. From Setup, click Create | Objects.
  2. Click the Sales Invoice custom object.
  3. Scroll down to the Buttons, Links and Actions section.
  4. Click Edit next to the New button.
  5. Click the Standard Salesforce.com Page radio button.

    If Standard Salesforce.com Page is already selected, you may have a customized page layout. In this case, use the standard Salesforce page layout editor to add the Manage Lines, Classic View and Classic Edit buttons to your customized page layout. If in doubt, contact FinancialForce Customer Support for advice.

  6. Click Save.
  7. Repeat steps 4-5 for the View and Edit buttons.

Repeat this procedure for the Sales Credit Note custom object.

Assign Page Layouts

There are "extended" versions of page layouts for the Sales Invoice, Sales Invoice Line Item, Sales Credit Note and Sales Credit Note Line Item custom objects. You must assign these extended page layouts to your profiles:

  1. From Setup, click Create | Objects.
  2. Click the Sales Invoice custom object.
  3. Scroll down to the Page Layouts section.
  4. Click Page Layout Assignment, then Edit Assignment.
  5. Select the profiles you want to edit, then select the Sales Invoice Layout (extended) page layout from the drop-down list and click Save.

Repeat this procedure for the Sales Invoice Line Item, Sales Credit Note and Sales Credit Note Line Item custom objects.

Note:

You can add custom buttons to the "extended" page layouts. This step is mandatory for enterprise billing. See Enterprise and Extended Billing Organizations for details.

Field Sets

Three field sets are provided for the Sales Invoice Line Item custom object, and the Sales Credit Note Line Item custom object. The field sets are labeled Manage Lines (SUT), Manage Lines (VAT/GST) and Manage Lines (Combined Tax). The field set appropriate to the current company's tax mode is used for users with the "extended" page layouts assigned to their profile (unless you have chosen to use custom field sets as explained below). The contents of these field sets are listed below. If you don't want tax to be calculated you can remove the tax-related fields from the appropriate field set, but do not remove any of the other fields.

Note the following points about the Manage Lines (SUT) field set:

  • Net Value is required to calculate the Net Total.
  • Tax Value, Tax Value 2 and Tax Value 3 are hidden but are required to calculate the Tax Total.
  • Tax Rate, Tax Rate 2 and Tax Rate 3 are default fields so they are always displayed even if you remove them from the field set.

Note the following points about the Manage Lines (VAT/GST) field set:

  • Net Value is required to calculate the Net Total.
  • Tax Value is required to calculate the Tax Total.

Creating Your Own Field Sets

The Manage Lines (SUT), Manage Lines (VAT/GST) and Manage Lines (Combined Tax) field sets are used by default for users with the "extended" page layouts assigned to their profile. If you want to use customized versions of these field sets:

  1. Create new field sets with the fields you want.
  2. In the Accounting Settings custom setting, enter each field set's API Name in the appropriate field: Invoice Manage Lines (SUT) Field Set, Invoice Manage Lines (VAT/GST) Field Set, Invoice Manage Lines (COMB) Field Set, CRN Manage Lines (SUT) Field Set, CRN Manage Lines (VAT/GST) Field Set, or CRN Manage Lines (COMB) Field Set. If you leave a field blank, the default field set will be used in that context. See Managing Custom Settings for more information about entering custom settings.
