Amending Prices on Active Contracts

When a contract is active, typically you must raise a change request to make changes to it. If all you want to do is change prices on the contract, Billing Central will create the change request automatically as part of the process to amend prices.

You can amend prices on an active contract in two ways:

  • By applying a percentage price change to a whole contract.
  • By entering new unit prices for individual contract line items on a contract.

In both cases you must specify the date from which the price change is effective. This is the earliest date that the new price can be used for billing.

Note:

Amending prices can result in contract line items being cloned. If you do not want the values of some fields to be copied to a cloned contract line item, you can exclude them by adding the fields to the Cloned Line Excluded Fields field set.

Applying a Percentage Price Change to a Whole Contract

To apply a percentage price change to a whole contract:

  1. Open the active contract.
  2. Click Amend Prices.
  3. Enter the percentage by which you want to change the unit prices. This can be a positive value to increase prices, or a negative value to reduce prices.
  4. Enter the date from which the new unit prices are effective.
  5. Click Amend.

A change request is created to update the contract with the price changes. Read Understanding Change Requests Made for Price Amendments before applying the change request.

Entering New Unit Prices for Individual Contract Line Items

To enter new unit prices for individual contract line items:

  1. Open the active contract.
  2. In the Billing Contract Line Items related list, click Amend Prices. A grid containing all the line items on the contract is displayed.
  3. For each contract line item that you want to amend:
    • In the New Unit Price field, enter the new unit price for that line item. Any discounts on a line item are not reflected in its Current Unit Price; discounts are only included in Sales Price.
    • In the Effective from Date field, enter the date from which the new unit price takes effect for that line item.
  4. When you have finished amending contract line items, click Amend.

A change request is created to update the contract with the price changes. Read Understanding Change Requests Made for Price Amendments before applying the change request.

Note:

If the Amend Prices button is not available in the Billing Contract Line Items related list it might be because the Lightning record page is not using the BC Contract Line Items Lightning component. For more information, contact your administrator.

Validation When Amending Prices

Billing Central displays an error message and does not create a change request if the contract includes a contract line item that:

  • Uses a pricing structure.
  • Has usage records dated after the Effective from Date.
  • Has a Billed To date after the Effective from Date and the Allow End Contract Line Before Billed To field in the Billing Central Settings custom setting is deselected.

If no contract line items have changed price, Billing Central displays a warning message explaining that a change request was not created because no lines required amendment.

If a renewal exists for the contract, Billing Central creates a change request for the price amendment and displays a warning message advising you to check that the renewal is using the correct prices.
