Amending Prices on Active Contracts

When you use the Amend Prices feature, information text on the Amend Prices window explains whether the new prices will be charged immediately (new lines will start on the Effective from Date) or when the contract line items are next billed (new lines will start at the beginning of the next unbilled billing period that falls on or after the Effective from Date). The way contract line items are changed to reflect price amendments varies depending on which mode your org is configured to use. For more information about the two modes, see Amend Prices Overview.

Applying a Percentage Price Change to a Whole Contract

To apply a percentage price change to a whole contract:

  1. Open the active contract.
  2. Click Amend Prices.
  3. Enter the percentage by which you want to change the unit prices. This can be a positive value to increase prices, or a negative value to reduce prices.
  4. Enter the date from which the new unit prices are effective.
  5. Click Amend.

A change request is created to update the contract with the price changes. Read Understanding Change Requests Made for Price Amendments before applying the change request.

Amending Prices on Contract Line Items

To amend prices on contract line items:

  1. Open the active contract.
  2. In the Billing Contract Line Items related list, click Amend Prices. The contract line items that are eligible for price amendment are displayed in a grid.
  3. [Optional] You can search for particular contract line items by entering a search term in the Search box. Your search term is compared against the read-only details displayed in the grid. If any rows are selected when you enter a search term, the row selection is cleared and only rows containing your search term are displayed. Clear the Search box to display all the rows again.
  4. To enter a new unit price for a contract line item:
    1. In the New Unit Price field, enter the new unit price for the line item. Any discounts on the line item are not reflected in its Current Unit Price; discounts are only included in Sales Price.
    2. In the Effective from Date field, enter the date from which the new unit price takes effect for the line item.
  5. To apply a percentage price change to one or more contract line items:
    1. Select the line items you want to amend, then click Apply Percentage Change. The Apply Percentage Change window opens.
    2. Enter the percentage by which you want to change the unit prices of the selected line items, and the date from which the new unit prices take effect.
    3. Click Apply. The New Unit Price and Effective from Date fields are updated for the selected line items in the Amend Prices window.
  6. If your org is configured to apply price changes when contract line items are next billed, notice that the Price Charged From column is included in the grid on the Amend Prices window. When you enter an Effective from Date on a line, this column displays the date from which the new unit price will be charged for that line. It is empty if the price change has no impact, for example when a line ends before the Effective from Date. It is read-only.
  7. When you have finished amending prices on the contract line items, click Amend.

A change request is created to update the contract with the price changes. Read Understanding Change Requests Made for Price Amendments before applying the change request.

Note:

If the Amend Prices button is not available in the Billing Contract Line Items related list it might be because the Lightning record page is not using the BC Contract Line Items Lightning component. For more information, contact your administrator.

Validation When Amending Prices

Billing Central displays an error message and does not create a change request if the contract includes a contract line item that:

If no contract line items have changed price, Billing Central displays a warning message explaining that a change request was not created because no lines required amendment.

If a renewal exists for the contract, Billing Central creates a change request for the price amendment and displays a warning message advising you to check that the renewal is using the correct prices.
