Managing Resource Skill Requests on Resource Requests

Resource skill requests enable you to request the skills and minimum ratings you need a particular resource to have to staff a resource request. You can view, modify, and create resource skill requests on resource requests. You might need to add the Match All field to your Resource Skill Request page layout.

If you are trying to match all of a resource's skills for a resource request, select the All Skills checkbox for the first skill request.

The match All Skills value in the Resource filter typically defaults to reflect the value of Match All of resource skill requests on the resource request. For example, if all resource skill requests are set to match All Skills, the default is set to match All Skills in the Resource filter component. If the first resource skill request listed in the Resourcing component is set to match Any Skill, Match All defaults to Any Skill in the Resource filter.

On the Resource Request Lightning page, you can add skill sets to a resource request, or add individual skill requests.

Adding and Managing Skills in Resource Requests in Lightning

You can quickly add a list of skills and ratings to a resource request. You can do this using the Skills component from a Manage Skills quick action and a Manage Skills window accessed from the Resource Request lightning page. You can also use skill sets to add a list of skills and then set ratings.

Notes:

Your administrator must add the Manage Skills button to the Resource Request Lightning record page.

Your administrator must select Enable Desirable Skills in the Skills Management custom setting, to show the Skill Importance column and mark the skills as essential or desirable.

To view, modify, and add skills in the Manage Skills window:

  1. Click Manage Skills on the Resource Request page. Skills and ratings on the resource request are displayed.
  2. [Optional] Select Consider Expiration Date to exclude resources with certifications that expire before the date specified in the End Date field of the Resource Filter on the Resource Request Lightning page.
  3. In the Skills Selection section, select Skill/Certification or Skill Set from the record selector field. By default, the Skill/Certification is selected.
  4. In the Search field, enter at least two characters of the skill or skill set and press Enter.
  5. [Optional] Click Search all items for: (). The Search Results window opens with the searched string in the Search field, and all the related items are displayed in the grid. You can customize the columns in the grid by adding custom field sets to the fields Skills Custom Lookup Columns and Skill Sets Custom Lookup Columns. For more information, see Skills Management Settings.
Note: The search is performed on all the columns available in the grid, providing greater options for searching the skills. The Search Results window shows up to 500 records.
  1. To add the skill, certification, or skill set to the table, click Add.
  2. Click to edit the Minimum Rating.
  3. [Optional] Click to select the skill type as Essential or Desirable in the Skill Importance column.
  4. Deselect the skills from the skill set table that you don’t require. By default, all the skills in the skill set are selected.
  5. [Optional] Click | Remove Skill to remove the skills / certifications added.
  6. [Optional] Click | Remove Skill Set to remove the skill sets added.
  7. [Optional] Do one of the following:
    • Leave All Skills selected if you want the resource to have all the added skills.
    • Select Any Skill if you want the resource to have any one of the added skills.
  8. [Optional] Do one of the following:
    • Leave All Essential Skills selected if you want the resource to have all the added essential skills.
    • Select Any Essential Skill if you want the resource to have any one of the added essential skills.
  9. Click Save. The skills are successfully saved, your changes are updated, and present on the page layout, displayed in the related list of resource skill requests on the resource request.
Notes:

Duplicate skills are not allowed in essential skills and desirable skills. A skill can either be essential or desirable, not both. Also, duplicate skills with different ratings are not allowed for essential skills.

Duplicate skills are not allowed in skill sets or skills / certifications. If a skill is already selected in a skill set, the same skill is not allowed in any other skill set or skills / certifications.

The filtered resources are displayed in the Resource Grid. To view the details of filtered resources' eligibility criteria, click a resource in the Resource Grid to view details of their matched criteria in the Requested Skills sections of the Resource Details tab.

If your administrator has selected Enable Desirable Skills in the Skills Managementcustom setting when creating the resource request, you can see the list of matched and unmatched essential and desirable skills in the Requested Skills section of the Resource Details tab.

In the Requested Skills section:

  • Essential and Desirable skills that match are displayed first and are indicated by .
  • Essential and Desirable skills that do not match are displayed below and are indicated by .

Recommended Resources

On the Resource Request Lightning page, use the Include Recommended Resources checkbox on the Resource Filter to sort the resources displayed in the Resource Grid by the rank decided after calculating their skill scores using the essential skills and desirable skills.

When you select Include Recommended, a Rank column is added to the grid.

Select the Include Recommended Resources checkbox and click Apply, to display the resources by rank in ascending order in the Resource Grid.

Adding Individual Skill Resource Requests

To view, modify, and create individual skill resource requests from the Resource Skill Requests related list:

  1. [Optional] Click View All to expand the list of resource skill requests.
  2. [Optional] Click Edit or Delete on an individual resource skill request to modify it or remove it as needed.
  3. Click New to create a new resource skill request record for the resource request. The Resource Request field defaults to the source resource request record.
  4. Select a skill or certification in the Skill/Certification field. Enter a minimum of one character to start the search.
  5. Select a minimum rating for the selected skill or certification.
  6. [Optional] Do one of the following:
    • Select Match All to return resources who match all resource skill requests for the resource request at your specified ratings.
    • Deselect Match All to return resources who match at least one or more resource skill requests for the resource request.
  7. [Optional] Select Primary to make this particular record the most important skill or certification required for the skill request.
  8. Click Save.
