Utilization Settings

Utilization functionality is controlled using these fields in the Utilization custom settings.

Note: These settings are applicable only for Utilization Calculation and Utilization Engine functionality.

Key: CP - select to enable capacity planning by role when calculating scheduled utilization.

Assignment Batch Size   The number of assignment records to process in a single batch when calculating utilization. If your organization encounters platform limits running utilization calculations on a large number of records, adjust the setting to a smaller number. 100
Batch Deletion Cut-Off Point   Applies a cut-off threshold for the amount of child utilization calculation records to remove when Delete Prior Calculation is selected for a utilization calculation. If the previous utilization calculation's child records exceed the number set for the cut-off, the utilization calculation is performed, and the child records such as detail and summary records, are deleted by batch deletion. However, if the amount of utilization calculation child records for the previous calculation does not exceed the cut-off point set, cascading deletion is used, and both the utilization calculation and the calculation's child records are deleted. 99000

Calculate Held Resource Request Time CP Indicates whether utilization will be calculated on the amount of scheduled time for held (unassigned) resource requests. False
Calculate Summary By Role CP Indicates whether or not PSA creates utilization summary records (used for capacity planning) when calculating scheduled utilization.
Tip:

Select Calculate Summary By Role if you want PSA to calculate, over a future period, capacity demand for individual resource roles.

Custom Filters for Unheld RR Utilization   Controls the fields on the Resource Request object to include for utilization calculations of unheld resource requests. This setting accepts field values in SOQL queries. You can add custom Resource Request fields as valid values to this setting. For example, Staffer_Approval_Required__c = true AND Update_Related_Resource_Requests__c = true AND Custom_Approval__c = true. If not defined, unheld resource request utilization calculations use default criteria. Null
Default Opportunity Probability   If resource requests, on the RPGClosed Abbreviation of region, practice, group. or resource for which utilization will be calculated, are not linked to an opportunity record, determines a default percentage value for the probability of closing the opportunity. This value is used to calculate the weighted hours fields on utilization summary records. Null
Deletion Batch Size   Sets the maximum number of utilization calculation records to process per batch. 10

Minimum Opportunity Probability   Indicates a minimum percentage value below which the Probability (%) field on the associated opportunity will not be considered when calculating utilization summary records. Null
Resource Batch Size   The number of resources to be processed in a single batch when a user calculates utilization for a resourceClosed A contact that works on a project.. Resource Request Batch Size   Determines how many unheld resource requests to process at once. If your organization encounters platform limits running utilization calculations on a large number of records, adjust the setting to a smaller number. 20
Target Utilization Approach   Controls the way in which Professional Services Automation calculates the target hours for a resource. Set the value to one of the following:
  • LAST – only the utilization target at the end date of any time period is used for the utilization detail result for that period, multiplying it with the calendar hours.
  • WEIGHTED – (default) between each resource change, the effective target utilization for each segment between resource change is multiplied with the calendar hours for that segment, and the resulting subtotals from each segment are summed (across both Historical and Scheduled periods) to arrive at Utilization Target Hours.

Timecard Batch Size   The number of timecard records to process in a single batch when calculating utilization. If your organization encounters platform limits running utilization calculations on a large number of records, adjust the setting to a smaller number. 100
Timecard Statuses   A comma delimited list of timecard status values that are used to determine which timecards to use in utilization calculations. Submitted, Approved
Uncheck Master Based On Type/Parent   Indicates whether the Is Report Master checkbox is deselected based on the type and parent object or based on the Utilization Calculation Name. The Is Report Master checkbox indicates whether a utilization calculation record is the master calculation for the combination of Region/Practice/Group/Resource and Time Period. False
Use Last Date on Resource   When true, utilization details do not calculate beyond the Last Date on the resource. False
Use Utilization Engine   When true, uses the Utilization Engine for real-time utilization.

If set to true, the following are displayed on the Mass Assign Resources To Project (MARP) and Assign Resource pages:
  • Start Date and End Date fields in the Filter Options section.
  • % Availability column in the Select Resources section.
If set to false:
  • On the MARP page, the Start Date and End Date fields and % Availability column are not displayed.
  • On the Assign Resource page, the Start Date and End Date fields are displayed but the % Availability column is not.

Utilization Engine Batch Size   The number of real-time utilization batch calculations to be processed in a single batch. 25
Utilization Engine Start Range   Defines the number of days prior to the current date to calculate real time utilization data. Set to 0 to start calculation from the current date. 50

subtract-holidays-from-total-hours Indicates whether total time period hours have work calendarClosed A calendar that defines the working days, hours and public holidays for a resource, region, practice or group. holiday hours subtracted for Utilization calculations.
use-resource-start-date Indicates whether a resource's first day of employment limits the total hour calculation for the time period.
use-resource-last-date Indicates whether a resource's last day of employment limits the total hour calculation for the time period.
