About Mass Exporting Depreciation Schedules

You can export depreciation schedules for multiple assets simultaneously by clicking the Export Depreciation Schedules button on the Fixed Asset Batch Jobs tab.

You can export depreciation schedules for all types of depreciation books but only depreciation schedules associated with accounting books are passed to the accounting system. Although depreciation schedules associated with tax, MACRS tax, and custom books are not passed to the accounting system, you are still advised to mark them as exported because it is useful for indicating that the depreciation has been claimed for tax or included in an analysis report. And until you export a depreciation schedule, the depreciation from that schedule is not included in Accumulated Depreciation, Net Book Value and Written Down Value calculations on the related depreciation book.

When you run the export process:

  • For accounting books, only assets with a status of Active or Disposed are processed.
  • For tax, MACRS tax, and custom books, only assets with a status of Active, Disposed or Approved are processed.

In both cases, depreciation schedules are only exported if their Active checkbox is disabled, they have a status of Pending, and they have an Effective Depreciation Date on or before the As of Date specified at runtime. If no As of Date is specified at runtime, today's date is used.

When a depreciation schedule has been exported, its Active checkbox is enabled and its status is set to Exported. Once a depreciation schedule has been exported, it cannot be changed.

Log Information

The process to mass export depreciation schedules runs as a batch Apex job. You are notified by email once the job has completed. A link in the email takes you to the batch job record where you will find individual logs for the depreciation schedules that were processed.

Batch logs are deleted automatically once the number of batches stored exceeds the Number of Export Batches to Keep in the Fixed Asset Management Batch Settings custom setting. They are deleted on the basis of oldest first.
