Utilization Formulae Overview

Utilization calculations are generated using these formulae:

Scheduled Utilization (Scheduled Billable Hours + Scheduled Credited Hours) / (Scheduled Calendar Hours - Scheduled Excluded Hours)
Utilization (Billable Timecard Hours + Billable Assigned Hours + Credited Timecard Hours + Credited Assigned Hours) / (Total Work Hours - Excluded Timecard Hours - Excluded Assigned Hours)
Note:

Non-Billable timecards and assignments have no effect on utilization calculations unless they have credited or excluded hours.

Changes to Utilization Calculations

When you make changes to resources such as changing the RPGClosed Abbreviation of region, practice, group. and work calendarClosed A calendar that defines the working days, hours and public holidays for a resource, region, practice or group., the changes are taken into account in the utilization calculation.

For example, if a resourceClosed A contact that works on a project. works in regionClosed A level of hierarchy used in PSA to which other objects belong such as resources, opportunities and projects. XYZ the first month of a quarter but then moves to another region, the time spent in region XYZ will still be calculated when calculating utilization for region XYZ. Resource changes are tracked in the resource change object.

A Resource's Start Date and Last Date affect both elapsed and total time period hours. Only hours after Start Date (if any) and before Last Date (if any) are added up in the Time Period. Elapsed or total hours before Start Date or after Last Date should not count.

For example, if in Q1 FY2010, a resource has a Start Date of Friday March 26. You then calculate utilization for that resource on Monday March 29:

  • Elapsed Hours for Q1 FY2010 are 16 hours which equates to 8 hours for Friday March 26 and 8 hours for Monday March 29.
  • Total Time Period Hours for Q1 FY2010 are 32 hours, which equates to 8 hours for each working day where Friday, Monday, Tuesday and Wednesday are working days.

By contrast, if a Start Date is not entered for that resource, both numbers would be much higher as they would include all the working hours from January to March 2010 up to Friday March 26.

Regional Utilization Calculations

Calculations for regional utilization objects use the same formulae, but use sums for all included resources in the region, and in the sub-region if the flag set.

For example: Historical Regional Utilization = ((SUM of Billable Timecard Hours) + (SUM of Credited Timecard Hours) / (SUM or Elapsed Work Hours - Sum of Excluded Timecard Hours)
