Summarizing Your Data

You can build summarized data by starting the summarization process right away or by scheduling it to run later.

Summarized data is stored on the summarization object. If you re-build the summarized data for a particular summarization template, the previous version of the data generated from that template is deleted once the latest version has been built (so only the latest version is stored).

When you have built your summarized data you can use it in action views.

Starting the Summarization Process

To start the summarization process right away:

  1. Click the Summarization Templates tab.
  2. In the list view, click the name of the summarization template that you want to process.
  3. When the template is loaded, click Save and Build.

Only data that meets the template's selection rule is retrieved and summarized.

Note:

The summarization process fails if your permissions do not allow you access to the data you are attempting to summarize.

Log Information

The summarization process runs as a batch job. You are notified by email once the job has completed. A link in the email takes you to the summarization log for the batch job.

The Summarization Run Information object stores details such as when the job was last run, and when it was last run successfully.

When you re-build summarized data for a template, the previous version of the data is deleted. The Mass Delete Batch Log object stores details of this delete job. If you find that some data is not deleted, you might want to check this log and the query that was run to investigate why some data was not deleted.
