Assignment Schedule Fields

Here is a description of the fields and buttons on the Edit Assignment Schedule page.

Note
Calculation of scheduled days respects hours to days rules when PSA is configured to do so.

Schedule

The sections that follow describe the fields that show the current schedule.

Information Fields

The information fields show the current schedule.

Key: * – Mandatory; R – Read-only

Field     Description
Assignment Name   R Name of the assignmentConnection between a resource and a project. to which the schedule relates.
Start/End Date *   Start and end date of the schedule.
Planned Hours   R Number of hours originally planned for the assignment. This field exists on projects, assignments and milestones and is for simple planning purposes. You can set Salesforce field-level security on this field. When you create an assignment from a resource requestA means of asking for resources for a project or an opportunity., the requested hours data on the resource request is copied to the Planned Hours field on the assignment. When you create a project from a template, the planned hours data is copied.
Future Scheduled Hours   R Number of hours scheduled for this and subsequent weeks to the end of the schedule.
Pattern *   The number of hours the resourceA contact that works on a project. should spend on the assignment each day.
Schedule   R Schedule ID of the schedule to which the assignment relates. You can click the link to view the Schedule page.
Actual Timecard Hours   R The number of hours booked to the assignment on timecards.
Scheduled Hours   R The total number of hours scheduled for the assignment.

Schedule Exceptions Fields

The schedule exceptions fields show exceptions to the schedule pattern that have been added to the schedule. Click to view the schedule exceptions.

Key: R – Read-only

Field   Description
Name R ID of the schedule exception. You can click the link to view the schedule exception detail.
Del R Deletes the schedule exception.
Start/End Date R The start and end date for the schedule exception.
Default Exception Hours Per Day R Default number of hours to populate the day fields with when you do not enter a specific value for an individual day.
Day fields R The hours on each day that the schedule is changed to when the exception is applied to the schedule pattern.

Schedule Exceptions Buttons

The Delete All Exceptions button deletes all the schedule exceptions.

Warning
When you make a change in the Schedule Exceptions section, there is no option to preview your changes before saving them.

Schedule Fields

The Schedule section shows hours for each day in the schedule after schedule exceptions have been taken into account.

Reschedule

This section describes the fields that allow you to change all or part of a schedule. When you reschedule, one or more schedule exceptions is created from the you specify to the end of the schedule.

Field   Description
From Date   The date from which to change the schedule.
Schedule Strategy   The scheduling strategy to use. See "Schedule Strategy".
Number of Hours   The number of hours to adjust the schedule to. When you save the changes, the Future Scheduled Hours and Total Scheduled Hours fields are updated.
Warning
When you reschedule, all schedule exceptions on or after the From Date are deleted .

Schedule Strategy

The scheduling strategy to use. You can choose from several options depending on the options that your administrator has set:

Scheduling Strategy Description
Calculate End Date, Level Schedule Calculates the end date taking into account holidays and other assignments that the resource has.
Calculate End Date, Ignore Availability Calculates the End Date ignoring assignments that the resource has.
Adjust Hours Per Day Calculates the hours per day based on the project end date and the Scheduled Hours. The Scheduled Hours are distributed evenly between the start and end dates.
Percent Allocation Calculates the hours per day based on the percentage allocation in the Date Range lines. You can add several date range lines and specify a different percentage allocation on each date range. When you create an assignment or update the scheduling strategy on an assignment using this strategy schedule exceptions are created based on the date ranges and percent allocation that you enter.
Note
In the Percent Allocation scheduling strategy, you cannot use date ranges that overlap.
Zero Hour Schedule Allows you to create assignments with zero hours for each day. For instance, you can create resource requests with zero hours and then staff, assign or hold the resource requests.
Note
If you attempt to create an assignment with zero hours using a different strategy, an error message appears.

Percent Allocation

The Percent Allocation section appears when you choose the Percent Allocation scheduling strategy. In this section you can add date ranges and specify a percentage allocation for the resource in each date range. This calculates the hours for each day. When you create an assignment or update the scheduling strategy on an assignment using this strategy schedule exceptions are created based on the date ranges and percent allocation that you enter.

Note
To display the Percent Allocation section, you must click Update Schedule after selecting the Percent Allocation scheduling strategy.
After completing or changing the Percent Allocation field you must click Update.

R – Read-only; * – Mandatory field.

Field   Description
Daily Hours fields R Hours for each day of the date range based on the Percentage Allocation.
End Date * Date on which the date range is to end.
Ignore Holidays   Indicates whether holidays on the resources work calendar are to be excluded from the total hours.
Percent Allocation   Percentage allocation of the resource to use to calculate their scheduled hours for the date range. 
Note
After completing or changing this field you must click Update.
Start Date * Date on which the date range is to start.
Total Hours R The total hours for the assignment between the dates specified in the Start Date and End Date fields of the date range.

Percentage Allocation Buttons

Button Description
Add Date Range Adds a date range line to the Percent Allocation section.
Refresh Calculates the hours on the daily hours and Total Hours fields for the date range based on the value in the Percentage Allocation field on that date range.
Update Updates the total hours on the Schedule and the Percent Allocation section based on the value in the Percentage Allocation field.

Insert Schedule Exception

This section describes the fields that allow you to insert exceptions into the standard schedule and set start and end dates for the exceptions.

Key: * – Mandatory

Field   Description
Start/End Date * The start and end dates for the schedule exception.
Move End Date   Indicates whether the parent schedule's end date is to be moved to keep the total scheduled hours constant.
Auto Adjust Overlapping Exceptions   Indicates whether overlapping exceptions are to be automatically removed or truncated.
Pattern Day Fields * The hours on each day that the schedule is changed to when the exception is applied to the schedule pattern.

Buttons

A Schedule Update section, which allows you to change schedule parameters.

Button Description
Update Displays the proposed changes so you can review them before saving.
Save Saves the changes, updates the schedule and the schedule exceptions.
Done Closes the page when there are no changes to save.
Cancel Cancels any changes made on the page and closes the page.
