Exporting Action View Results

You can export the results of an action view to a spreadsheet. The results are exported as they are displayed in the grid with the column order, aggregation, sort order, formatting, and display options preserved. However, subtotals that are displayed when you enable Group By (in sorting) are not included in the exported content.

To export the current results:

  1. From the Action Views page, click the icon in the toolbar above the results grid to display the Export panel.
  2. Choose the file format. Currently only Microsoft Excel (XLSX) is supported.
  3. Enter a filename for the spreadsheet that will be created.
  4. If you want to export the filter criteria, column filter criteria, selection criteria and sort criteria used to achieve the current results, ensure that Export Filter Criteria, Export Column Filter Criteria, Export Row Selection and Export Sort Criteria are selected. This information might be important for auditing purposes.
  5. [Optional] Choose whether to select Export Aggregation Criteria or Export Titles as required.
  6. Click Export Data to go ahead and export the results. (To abandon the export, simply click the icon again to close the panel.) If you had set up filter or sort criteria but not applied them, they are applied when you click Export Data.

Export copies the results to a Salesforce document in your My Personal Documents folder. This document is then automatically downloaded to your local machine. Your browser may give you a choice of where to download the file to, or may download it straight to your local Downloads folder. If you chose to export the filter criteria, column filter criteria, selection criteria, and sort criteria, this information is included at the top of the spreadsheet. Selection criteria applied on the dataview, and on the action view template, are listed separately.

Note:

Any Salesforce documents created by the export process are deleted automatically on a nightly basis (at midnight) so you do not need to delete them manually. Documents created from 23:45 onwards are not deleted that night; they are deleted the following night.

How to Export Less Data

If the export process fails because of the amount of data you are trying to export, try the following suggestions:

  • Filter the results so that less data is displayed in the grid.
  • Hide any non-essential columns.
  • Turn off column formatting.
  • Do not choose to export filter, selection and sort criteria.
