Setting up the Work Planner for PSA Experience Cloud Sites

To enable the relevant users to use Work Planner in PSA Experience Cloud sites, you must do the following for them:

  • Create accounts, contacts, and users for PSA Experience Cloud.
    Note: Contacts must be Salesforce users.
  • Assign the PSA - View Work Planner or PSA - Edit Work Planner permission set to them.
  • Control sharing access to the following objects:
    • Assignment
    • Resource Request
    • Schedule
    • Schedule Exception
    • Project
    • Contact
  • Use custom settings and permission controls to control access to records.

Lightning App Builder Options

When you add the PSA EC Work Planner component using the Lightning App Builder, you can select the following component properties to remove the access to the following actions and buttons:

  • Do Not Allow Schedule Date Updates: When selected, editing of the start and end dates of schedules is turned off in the grid and scheduler views.
  • Hide Clone Assignment Action: When selected, the Clone Assignment right-click action is hidden.
  • Hide Clone Resource Request Action: When selected, the Clone Resource Request right-click action is hidden.
  • Hide Create Assignment Button: When selected, the Create Assignment button is hidden.
  • Hide Create Resource Request Button: When selected, the Create Resource Request button is hidden.
  • Hide Swap Resource & Split Assignment Action: When selected, the Swap Resource & Split Assignment right-click action is hidden.
  • Hide Swap Resource & Split Resource Request Action: When selected, the Swap Resource & Split Resource Request right-click action is hidden.

Sharing Access for Partners

To give your partners access to Work Planner in PSA Experience Cloud sites, we recommend that you set the following sharing settings.

From Setup | Security | Sharing Settings, set the default external access.

Certinia Custom Settings

You must set the following custom settings for the level of access that the resource has to their assignment, and to remove sharing from the assignment.

  1. From Setup, select Custom Settings | Assignment Settings.
  2. Select Auto Share with New Resource.
  3. Enter edit or read in the Default Value field. This determines the level of access that the resource has to the assignment.
  4. From Setup, select Custom Settings | Assignment Settings.
  5. Select Delete Share from Old Resource.
  6. Select Checked in the General Options | Default Value options. If the resource is unassigned from the assignment, this ensures that the assignment is no longer shared with the resource.

For partners, the sharing settings and custom settings create the following behavior when using Work Planner in a PSA Experience Cloud site:

  • Partner users can access the PSA Work Planner component in a PSA Experience Cloud site, and they can see their assignments.
  • Existing role hierarchies are respected. For example, partner user with the Partner Manager role can access the data of partner user with the Partner User role.

Customer Access to Work Planner in PSA Experience Cloud Sites

It is possible for your customers to have access to Work Planner in PSA Experience Cloud sites, but Certinia does not provide any custom settings to control sharing for these users. For information about Salesforce sharing settings, see the Salesforce Help.

Limitations of Work Planner in PSA Experience Cloud Sites

  • Work Planner is incompatible with Lightning Web Runtime (LWR) templates in Experience Cloud sites.
  • When a resource request is held against a partner resource, the record is not shared with that resource.
  • Some records that are not shared might still be displayed in Work Planner in PSA Experience Cloud sites, but the information in them is not exposed.
