Utilization Analytics Capacity and Demand Planning Dashboard

The Utilization Analytics Capacity and Demand Planning dashboard displays data from the Utilization Results dataset, and is designed to be embedded in the PSA Resource Management workspace. For more information, see Embedding PSA Analytics Dashboards in a Lightning Page.

This dashboard enables you to:

By default, the filters panel is displayed in this dashboard. You can toggle between hiding and displaying the filters panel by clicking . To change a filter selection, ensure the filter panel is displayed in the dashboard. Hiding the filter panel also hides the drop-down menus from the cards that have them enabled.

Date Range: select the time period you want to view data for. By default, a date range covering the next 90 days is selected. You can select between fiscal year, fiscal quarter, calendar year, calendar quarter, calendar month, and day. You can also select all time or custom to input the time period of your choosing.

Region, Practice and Group Filters

  • Region Level: select the Regional Level you want to filter your data by. Selections here determine the region options displayed under "Region".
  • Region: select the Region you want to filter your data by.
  • Practice Level: select the Practice Level you want to filter your data by. Selections here determine the practice options displayed under "Practice".
  • Practice: select the Practice you want to filter your data by.
  • Group Level: select the Group Level you want to filter your data by. Selections here determine the practice options displayed under "Group".
  • Group: select the Group you want to filter your data by.
  • Role: view your scheduled utilization data by grouping it according to the roles of the assigned resources.
  • Resource: view your scheduled utilization data by grouping it according to your available resources.
Note:

RPG hierarchies in the RPG filters are only displayed to the levels for which data is available.

  Available Capacity (%) by Role Heatmap chart

Displays a heatmap indicating the distribution of current remaining capacity by role. By default this displays remaining capacity distribution by week ending.

The data displayed on this chart can be filtered by the following drop-down selectors:

  • Hours. Available options are Assigned, Assigned + Held, Assigned + Held + Unheld, Held, and Unheld.
  • Time Grouping. Available options are Week, Month, and Day.
  • View by. Available options are Role, Region, Practice, or Group. A sub-selector enables you to filter RPG data by level.
    Note: The RPG data filtered by this selector is also controlled by the global filters in this dashboard. For example, if your global filter region level is set to Level 00, and you select View by Region, Level 01 in the chart, the chart displays data for Region Level 00, but grouped by Region Level 01.

 
  Resource Availability Table

Data displayed in the following columns is faceted by the Available Capacity (%) by Role heatmap chart:

  • Resource Name. You can drill on cells in this column to view resource details in your PSA data environment.
  • Resource Role
  • Remaining Hours. This is calculated using the following formula: Calendar Hours - (Billable Assignment Hours, Credited Assignment Hours, Non-Billable Assignment Hours, Time Excluded Assignment Hours, Utilization Excluded Assignment Hours, Held Resource Request Hours, Utilization Excluded Held RR Hours)
  • Billable Assignment Hours
  • Credited Assignment Hours
  • Non-Billable Assignment Hours
  • Held RR Hours
  • Calendar Hours
  • Time Excluded Assignment Hours
  • Utilization Excluded Assignment Hours
  • Utilization Excluded Held RR Hours

Editing Dashboard Elements

You can edit some of the elements displayed in the dashboard, according to your reporting and presentational requirements.

You can change the default colors and ranges displayed in the Available Capacity (%) heatmap chart, using the steps below.

Warning:

Changes applied to these colors and ranges must be made to both the heatmap chart and the heatmap chart legend.

  1. In Analytics Studio, navigate to the app containing the Utilization Analytics Capacity and Demand Planning dashboard you want to edit.
  2. Click Edit to enter edit mode.
  3. Double-click the heatmap legend chart.
  4. In the New Custom Query modal that opens, amend your required ranges in the Threshold, Capacity Remaining (%), and availablePercentage columns.
  5. Click Done.
  6. In the Widget Editor, navigate to Conditional Formatting. You can now specify alternative colors to those provided as defaults in the dashboard.
  7. Edit the percentage values displayed in the Conditional Formatting menu to match the amended values in the Custom Query Modal. For example, if you specify an upper range of 70% in the Custom Query Modal, you must enter this value in the Conditional Formatting menu.
  8. Double-click the Available Capacity (%) heatmap chart.
  9. In the Widget Editor, navigate to Conditional Formatting. You must amend the colors and values displayed to reflect any changes you have made to the heatmap legend chart. This is to ensure that both charts contain identical ranges and colors.
  10. Click Preview | Save.
  11. [Optional] Enter a name. description, and version history for your dashboard.
  12. [Optional] Select the app you want to save your dashboard to.
  13. Click Save.
