Timecard Entry Fields

Here is a description of the fields and buttons on the timecardA mechanism for logging time against a project or an assignment. entry page.

Timecards

Key: * – Mandatory; U – On the Classic edition only available from the notes icon and on the Enhanced edition also available from Edit/View Details; E – On the Enhanced edition only available from Edit/View Details or the notes icon. If you enter a timecard on behalf of someone else, when you change the value in the Resource field, the first day of the week is set to the Week Start Day of that resource.

Field   Description
Week Ending Date * Date of week end day.
Resource * Name of the resource. Read-only if you are entering your own timecard. If you enter a timecard on behalf of someone else, when you change the value in the Resource field, the first day of the week is set to the Week Start Day of that resource.
Project/Assignment * Projects and assignments for this resourceA contact that works on a project..
Billable   Whether the hours are chargeable to the customer.
Milestone E The projectA collection of activities and related items to be managed over a defined time range, such as timecards, expenses, milestones and budgets. milestoneA fixed target, which when achieved, can be billed to the customer for a fixed fee or by logging time against it. to which the timecard entry refers. If the Closed for Time checkbox is selected for a milestone, that milestone is not available for selection.
Tip
If no milestones are listed and milestones exist in your project, it might be that the Show Assignment Milestones Only checkbox is selected on the assignment and no assignment milestone records exist for the assignment. See "Show Assignment Milestones Only".
Phase   The phase in the project to which the timecard entry refers. Depending on the configuration your administrator has set, the phases listed are generated from the project phase records associated with the project or the default drop-down list associated with the Project Phase field on the project. If an assignment is linked to a subset of project phases, only those phases are shown in the Phase drop-down list when entering a timecard.
Methodology U The current step in the Project Methodology. Depending on the configuration your administrator has set, the methodologies listed are generated from the project methodology records associated with the project or the default drop-down list associated with the Project Methodology field on the timecard object. If an assignment is linked to a subset of project methodologies, only those methodologies are shown in the Methodology drop-down list when entering a timecard.
Daily Notes U Daily notes for the timecard line. PSA records when assignment daily notes are created, deleted or modified and the person that made the change. The information is recorded in the Last Modified Date/Time and Last Modified By data on the assignment. If you have permissions to do so, this allows you to create workflows that provide email notifications when users enter assignment daily notes or modify them.
Note
When a daily note field contains a lot of text, the height and width of the tooltip that appears when hovering over a daily hours field on the Manage Timecards to Approve page will be increased.
Daily Location   Location on each day. Depending on the configuration your administrator has set, the locations listed are generated from the project location records associated with the project or the default drop-down list associated with the Project Location field on the timecard object.
Travel U Select if the time involved travel.
Primary Location U Location for the whole week. Depending on the configuration your administrator has set, the locations listed are generated from the project location records associated with the project or the default drop-down list associated with the Project Location field on the timecard object.
Weekly Notes U Weekly notes for the timecard line.
Audit Notes U Audit Notes for the timecard line.
ETC   Estimated time to completion.
Status   Status of the timecard line.
Recall Action   Action that you can carry out to recall the timecard line.
Daily Hours   Hours for each day of the timecard. Holidays on the resource's work calendar are indicated by a colored column in the color that your administrator has chosen for the Holiday Color Code custom field of the Timecard Entry UI Global Settings custom setting. Weekends are indicated by a colored column in the color that your administrator has chosen for the Weekend Color Code custom field of the Timecard Entry UI Global Settings custom setting.
Sum   Total hours for the timecard line.
Total   Total timecard hours. Time entered against project tasks is excluded from the total.

Additional Fields

Additional timecard fields that your administrator has configured PSA to display are shown in the Additional Fields section of View/Edit Details.

Buttons

Key: E – Enhanced edition only; T – Time Against Tasks edition only.

Button   Description
Add a Project T If your administrator has enabled the time
Add Lines   Adds new the number of timecard lines set in the drop-down list next to the Add Lines button. The maximum number of lines shown is determined by the value of the Empty lines to append on add lines configuration option in the Timecard configuration group or Timecard Entry UI Personal Settings custom setting. See "Empty lines to append on add lines".
Delete Lines E Deletes all saved or unsaved timecard lines.
Copy Selected Schedules   Copies the selected schedule lines to the timecard. You can select the checkbox in the header line to copy all schedule lines to the timecard.
Tip
You can also use a URL to achieve this. For instance, this URL copies selected schedule lines of the week ending date of May 4th 2012: https://YourOrgURL/apex/pse__TCEntry?weekEndingDate=04/05/2012&populateFromSchedule=yes
Copy from Previous Week   Copies time from the corresponding entries from previous week. Depending on the configuration that your administrator has set, on the enhanced timecard user interface you can choose to copy these fields:
  • Hours
  • Travel
  • Locations
  • Notes
  • Estimated Time to Completion
  • Milestone
  • Project Phase
Note
If you entered time against project tasks this is not copied. You must enter time against project tasks manually.
 
Save   Saves the timecard, but does not submit it.
Submit   Submits the timecard for approval.
View/Edit Details   Depending on the configuration options that your administrator has chosen and the state of the timecard line, allows you to display or edit daily and weekly notes fields, set travel information and enter information in additional fields.
Tips
If the Edit Details button or notes column is not displayed while the timecard is editable, you may be able to complete daily notes and travel location fields by double-clicking the day fields of the timecard line depending on the configuration options your administrator has chosen.
The notes icon is not available for selection on an unsaved timecard row until you choose a Project / Assignment.

Tasks and Notes Tabs

You can use the Tasks tab to enter time against project tasks if your administrator has enabled the time against tasks edition of the Timecard Entry page. On the time against tasks edition of the Time Entry page, a Tasks tab and a Notes tab is shown beneath the timecard hours. The Tasks tab allows you to enter time against project tasks. You can enter the hours to be recorded against each project task using the daily hours fields on the Tasks tab. This changes the hours on the timecard depending on the configuration that your administrator has set. For further information, see "About Time Against Project Tasks". In addition, extra fields may be displayed in the Tasks tab depending on the fields that your administrator has chosen. See "Task Time Read-Only Columns" and "Task Time Editable Columns".

Note
You can only enter time against a project task if you can enter time against the project to which it relates.

The Notes tab displays the other fields available in the View/Edit Details section of the standard Time Entry page.

Select Project Tasks

The Select Project Tasks popup appears on the Tasks tab when you click Select Tasks. This allows you to select project tasks to enter time for. This popup only displays the project tasks that you can enter time for. The tasks are also filtered depending on the configuration your administrator has set. The configuration options that your administrator are shown above the task list.

Field Description
My Tasks Indicates whether the project tasks are filtered so that only your tasks are listed.
Milestone Indicates whether the project tasks are filtered based on the chosen milestone on the timecard.
Task Dates Indicates whether the project tasks are filtered so that only those which fall within the timecard week are listed.
Note
Project tasks that are closed for time entry are not listed in the Select Project Tasks popup.

Schedules

A read-only view of the defined schedule for the assignment, showing number of scheduled hours for each day.

Key: * – Mandatory field; U – Only available on the Enhanced edition from Edit/View Details.

Field   Description
Week Ending Date * Date of week end day.
Daily Notes U Enter daily notes for the Assignment Schedule.

Administrator Only Timecard Fields

For administrator use only.

Field   Description
Timecard UI Save or Submit Needed   Not visible by default and for administrator use only. This field can be used to resolve issues that may arise in validation when logging a timecard with task time and trying to save certain information such as milestones at the same time.

To use this field, configure it in the applicable validation rule, for example:
Rule Name: Weekly_Timecard_Milestone_Must_Be_Populated
Error Message: Testing of Milestone required
Error Condition Formula: AND(ISBLANK(Milestone__c), NOT(Timecard_UI_Save_Submit_Needed__c))

Buttons

Key: E – Enhanced Edition Only.

Button   Description
Edit Details E Displays daily notes fields for the Assignment Schedule where you can enter notes for each day.
Done E Close the daily notes fields.
Save   Save changes to the schedules.
