Placing Billing Documents On Hold

When you run the reminders process you can choose to exclude billing documents. If you exclude billing documents, you can include them later when you run the reminders process.

If you want to exclude billing documents from the reminder process entirely, you can set their status to "On Hold". You can place billing documents on hold if their status is "Draft", "Completed", or "Posted". When you place a billing document on hold, all transaction line items with the type "Account" are also placed on hold. Transaction line items created by the Background Posting Scheduler for billing documents that are "On Hold" are automatically placed on hold.

You can choose to place individual billing documents on hold or place multiple documents on hold from the Billing Documents list view.

To place an individual billing document "On Hold":

  1. Click the Billing Documents tab.
  2. Click the number of the document that you want to place "On Hold". The Billing Document page displays.
  3. Click Place On Hold. A confirmation message displays.
  4. Click OK.

To place multiple billing documents "On Hold":

  1. Click the Billing Documents tab.
  2. Select the billing documents you want to place on hold.
  3. Click Place On Hold. A confirmation message displays.
  4. Click OK.

To release an individual billing document from "On Hold":

  1. Click the Billing Documents tab.
  2. Click the number of the document that you want to release from "on Hold". The Billing Document page displays.
  3. Click Release For Collection. A confirmation message displays.
  4. Click OK.

To release multiple billing documents from "On Hold":

  1. Click the Billing Documents tab.
  2. Select the billing documents you want to remove the "On Hold" status from.
  3. Click Release For Collection. A confirmation message displays.
  4. Click OK.

Manually Placing Billing Documents on Hold

You can manually place billing documents on hold by selecting the On Hold checkbox as long as they do not have the status of "Complete" or "Posted".

If you post billing documents that have the "On Hold" status using the Background Posting Scheduler, their transaction line items will also have the "On Hold" status.

For existing transaction line items, you can manually select or deselect the On Hold checkbox on the transaction line item record. This option is available only if you select the following checkboxes on the Collections Plus Settings (FF) custom setting:

  • Allow On Hold Edit On TLI
  • Send Reminders for Billing Documents

To release a transaction line item for collection when the billing document's status is "Posted", you must manually deselect the On Hold checkbox on the transaction line item record.

Note:
  • You can use custom triggers to set the custom On Hold checkbox according to your specific criteria.
  • If you have created a custom flow, you must change the On Hold field from the custom created one to the one available in the package for the Billing Document object.

To manually place billing documents on hold for collections, you must configure your org as follows:

  1. Install Billing Central.
  2. Install FinancialForce Accounting Spring 2022 SP12 or later.
  3. Enable the FFA Collections Plus feature.
  4. Select the Send Reminders for Billing Documents field in the Collections Plus Settings (FF) custom setting.
  5. Manually create a new custom setting in the Collections Plus Settings (FF) custom setting with the following values:
