Using Journal Loader

Before starting the process, ensure you are assigned to the Accounting and Billing Journal - Save permission set. If you are not a System Administrator, you must also ensure the company you want to assign the journal to is selected as current, either in single or multi-company mode.

Note: If you do not have My Domain set up in your org, you must register the following URL as a trusted remote site in Remote Site Settings: https://YourInstance.salesforce.com (where YourInstance is your org's Salesforce instance, such as NA9). For more information, see "My Domain" in the Salesforce Help.

Loading journal data from a spreadsheet into Journal Loader

To load up to 50,000 journal lines using Journal Loader:

  1. Click the Journal Loader tab.
  2. Select and copy your journal data from the relevant spreadsheet.
  3. In Journal Loader, click anywhere within the area bordered by the dotted line.
  4. Paste your journal data.
  5. If no company is specified in your journal data, you may be asked to confirm which company the journal needs to be assigned to - this will be the document company. Select the relevant company and click continue.
  6. If your data contains any errors, you will be notified. Correct the errors and reupload your spreadsheet data to try again.
  7. When the journal data is uploaded successfully, a table is displayed. This shows the number of journals that will be created by the upload process.
  8. If the number of lines in the journal is higher than the default limit specified by the Manual Journal Batch Line Limit custom setting, you will be asked to select a Suspense Account. If the Suspense Account is included in the Default Information in the company record this will be pre-selected. You can amend the selected Suspense Account if necessary.
  9. Click “Save” to save the imported journal to Accounting
Note: Use either your keyboard command for paste, or the brower’s Edit/Paste menu item. You can’t paste using the right-click action on your mouse.

When the journal data is uploaded successfully, a table is displayed. This shows the number of journals that will be created by the upload process.

You can click any journal row to display the Journal Details dialogue, where you can view a detailed list of the journal lines within that journal.

Saving the imported journal data to the Certinia database

To save the imported journal data to Accounting:

  • Click Save. The Journal Loader is locked until the save process completes.
Warnings: You must not navigate to a different page within the application during the save process. Doing so might result in some journals not being saved. If this happens, discard these journals and start the save process again. You can move to other tabs within your browser while the save process completes.

After the save process, a message is displayed telling you how many journals and journal lines have been saved. To load journal data from another spreadsheet, clear the current data and start the process again.
