Assigning Resources or Roles to a Project Task

You can assign internal resources, external resourcesA person or entity that is external to your Salesforce organization. You can use external resources when assigning external staff, such as contractors, to project tasks., or resource roles.

Assigning Resources or Roles to a Single Project Task

  1. View the Manage Resources and Roles dialog box:
  2. [Optional] Click the Filters for select resource drop-down.
    Select either or both filters to refine the list of resources:

    If filtered results are more than 100 resources, enter the resource name as free text to locate the desired resource.

  3. Add the resource or role:
  4. Optionally, click Link Assignment/Held RR to link the resource to the correct assignment.
    This status link displays when the resource has multiple assignments or held resource requests.
  5. [Optional] Add more resources or roles.
  6. Click Apply changes in the dialog.
  7. Click Save.

Assigning Resources or Roles to Multiple Project Tasks

  1. Select multiple tasks in the Tasks pane. Press CTRL+shift to select multiple adjacent tasks. Press CTRL+click to select multiple nonadjacent tasks.
  2. View the Manage Resources and Roles for Multiple Tasks dialog box:
  3. [Optional] Click the Filters for select resource drop-down.
    Select either or both filters to refine the list of resources:
  4. Add the resource or role:
  5. Optionally, add or remove more resources or roles.
  6. Click Apply. Your chosen resources or roles are assigned to all selected tasks.
  7. Click Save.
Note: Notes
Assigning a resource or role in Project Task Gantt creates a project task assignment rather than a resource assignment record.
Project Task Gantt ignores duplicate resource/role combinations assigned to one or many project tasks.
When you assign both an external resource and a standard resource to the same task using Project Task Gantt, separate project task assignments are created that correspond to each resource and external resource.
Depending on the configuration that your administrator has chosen, resources can enter time against a task. If you want the resource to book time and expenses to the project, you must also assign them to the project. See Searching for Resources and Entering Time Against Project Tasks.

Removing a Project Task Assignment for the Selected Task

  1. From the Manage Resources and Roles dialog box, select the resource or role you want to remove from the assignment.
  2. Click Remove.
  3. Click Apply.
  4. Click Save.

Unlinking Project Task Assignments from Assignments

  1. From the Manage Resources and Roles dialog box, select the resource or role you want to unlink from the assignment.
  2. Click (Unlink).
  3. Click Apply Changes.
